Everything in TracePort,
explained step by step.

From your first login to full AI Autopilot — every feature, big and small, and exactly how to use and activate it.

Getting started

  • Open the app at apps.campaignex.co/softwares/traceport and create your account with your name, company and email.
  • Your company name sets your client code prefix — e.g. CAMPAIGNEX becomes CX-001, CX-002…
  • Plans: Starter (Rs 9,999/mo) is the full manual CRM; AI Autopilot (Rs 29,999/mo) adds the AI salesperson with a 3-day free trial; Giant Exporter is custom — contact us.
Tip You can start on Starter and switch on the AI Autopilot 3-day trial whenever you are ready — your data carries over.

Signing in & device trust

  • Log in with your email and password. The first time on a new device you confirm a one-time code (OTP) sent to your email.
  • A device you confirm is trusted for a period, so you are not asked again every time.
  • If a code looks expired, request a new one — codes are time-limited and tied to your local timezone.

Adding & importing clients

Add one client

  1. Go to ClientsAdd Client.
  2. Fill in company, contact, email, phone, WhatsApp, country and any social handles, then save.

Import many at once

  1. Go to Import Excel and upload an Excel/CSV sheet or a Google Maps scraper export.
  2. TracePort auto-maps even messy or oddly-named columns and de-duplicates by company so you never load the same buyer twice.
  3. Review the result on the Clients page — everything is numbered and ready.
Tip Files with social, WhatsApp and website columns are mapped to the right fields automatically; you can always edit a client afterwards.

The Clients page & client numbers

  • Every client gets a unique, gap-free number (CX-001, CX-002…) that stays as their identity.
  • The list is ordered by number, newest at the top, and shows status, channels done and reminders at a glance.
  • Use search and the status filter (New, Active, Replied, Hot, Closed) to find buyers fast.

Select & bulk-delete

  1. Click the ⋮ (three dots) button next to “Add Client”.
  2. Choose Select & delete (or Select all). Checkboxes appear and rows highlight as you pick them.
  3. Press Delete selected — the clients move to Trash (recoverable for 20 days), not gone forever.

Outreach & the 6 channels

  • TracePort tracks outreach across Email, WhatsApp, LinkedIn, Instagram, Facebook and TikTok — every touch for every buyer in one place.
  • On a client and on the AI plan you get a planned outreach list of touch-points by channel and date.
  • Clicking a social touch opens that buyer’s profile/link; clicking the Email touch opens TracePort’s own composer for that exact client — never a random mail app.

Sending email & tracking

  1. Open a client (or the Email Inbox) and click Compose.
  2. Write your message, attach files up to 50 MB, and send from your connected mailbox.
  3. TracePort adds invisible tracking: blue ticks show when the buyer opens your email, and link clicks are counted.
Tip Open/click tracking is shown in the reading pane. Some mail apps block tracking pixels, so a missing open does not always mean it was not read.

The Email Inbox

Connect a mailbox

  1. Go to Settings and connect your email account (Hostinger, Gmail or cPanel), or an HTTP email API (Brevo/Resend) for best delivery.
  2. Each account keeps its own Sent, Clients, Other and Spam folders — mail from one address never leaks into another.

Working with mail

  • Switch the active mailbox in Settings; the inbox shows only that account’s mail. With no account connected, the inbox is empty until you connect one.
  • Sent mail clearly shows the recipient’s address (e.g. “You → buyer@company.de”), and any attachments are listed under the message.
  • Compose to a client or anyone else; on the AI plan use “Write with AI” to draft the message for you.
  • Delete moves a mail to the Trash, where you can restore it or delete it permanently.

Reminders & follow-ups

  • After each send, TracePort schedules follow-up reminders on a 3 / 4 / 5 / 7 / 10-day cadence so no buyer is forgotten.
  • The Reminders page lists what is due and overdue; the dashboard surfaces the most urgent ones.

Performance dashboard

  • A 24/7 view of your work: clients added, emails sent, opens, clicks, replies and pipeline by status.

  • On the AI plan you also get growth suggestions on what to do next.

AI Autopilot AI plan

Train the AI on your business

  1. Go to AI Assistant and either type a short brief about your products, tone and rules, or upload a .txt file.
  2. The AI now writes in your voice and knows what you sell.

What the AI does

  • Writes the first email and every follow-up, tailored per buyer and per step.
  • Auto-pilot inbox: it reads buyer replies and answers them for you — a 24/7 sales agent (toggle it on per your settings).
  • Builds an outreach schedule across the channels you choose (Email, WhatsApp, LinkedIn, Instagram, Facebook, TikTok).
  • Auto-attaches the right catalogue at the right step, and can describe any product/article from your uploaded catalogues on request.
  • Suggests growth actions on the dashboard.
Tip Always review AI drafts before they go out while you learn how it writes — then let it run on autopilot.

Documents & catalogues

  1. In AI Assistant, upload a catalogue, brochure or price list (up to 50 MB).
  2. Give it a title and a short description, and choose when it should be sent: manually, when a buyer asks, or automatically at a chosen step.
  3. The AI reads the contents so it can recommend and attach the right document at the right moment.
Tip Text, CSV and .txt files are read in full. PDF/Word are matched by their title and description, so write a clear description for those.

Connect LeadSniper

  1. In LeadSniper, open Connect TracePort and copy Your connection code.
  2. In TracePort, open Connect LeadSniper, paste the code and press Connect.
  3. Back in LeadSniper, press Send to TracePort on any generated file.
  4. The leads import straight into your TracePort client list — de-duplicated by company. Use Sync now on the Connect page if you want to pull them immediately.

Trash & restoring

  • Deleting a client, an email or a document moves it to the Trash — nothing is destroyed straight away.
  • The Trash has separate sections for clients, emails and documents. From there you can Restore or Delete forever.
  • Anything left in the Trash is automatically removed after 20 days.

Settings

  • Mailbox — connect/switch email accounts (SMTP/IMAP) or an HTTP email API.
  • Company name — sets your client code prefix (e.g. CX).
  • Timezone — the header clock and all times follow it (Pakistan time by default).
  • Language — switch the interface language.

Email deliverability

  • A 535 error means the mail server rejected your login — the sending code is fine. Re-type your mailbox password (not the hosting panel password).
  • For Hostinger/Titan Business mail, use host smtp.titan.email / imap.titan.email. For Gmail, use a 16-character App Password.
  • For the best inbox placement, use an HTTP email API (Brevo or Resend) instead of raw SMTP.
  • To receive replies and see incoming attachments, enable IMAP on your mailbox.

FAQ

Do I need technical skills to set it up?
No. An exporter can be live the same day — create an account, connect a mailbox, import or sync your leads, and start.
How long is the AI trial?
Three days of full AI Autopilot, with no card required. After it ends you can continue on AI Autopilot or stay on Starter; your data is kept.
Will deleting remove my data permanently?
No — deletes go to the Trash for 20 days. You can restore them, or delete forever yourself.
Can the AI write to non-clients too?
Yes. In the Email Inbox composer, “Write with AI” drafts a message to a client or any other address.
